Family/ Guardian/ Staff/ Student Concern Protocol

From time to time, an issue may arise at school that causes a family/guardian/staff/student to be concerned. A safe learning and work environment is our top priority. So in order to ensure that concerns are appropriately addressed, we ask that the following protocol be followed. FIRST the family/guardian/staff/student is encouraged to speak with the person with whom there is an issue and work to satisfactorily resolve the situation.

If, for some reason, the family/guardian/staff/student does not feel comfortable doing so, or has done so and has not reached a satisfactory resolution, then SECONDLY the family/guardian/student/staff is asked to submit the online form below. If a person goes directly to the Executive Director or one of the Directors (by phone or in-person), he/she will fill out the online form below with that person. 

Once submitted, a copy of the form will go to the Executive Director, Dr. Brad Tipka, the Lower School Director, Mrs. Cho, and the Upper School Director, Ms. Lisa Thompson.

Within 48 hours, the Executive Director and Directors will consult to determine the appropriate Person of Contact (depending on the concern), and the Person of Contact will email the submitter to inform them that the form was received and who the person of contact will be.

(1) If the concern will be initially handled by the Executive Director or one of the Directors, he/she will have 2 weeks to address the concern, unless the concern necessitates a shorter timeline. If others are involved in the concern, best efforts will be made to hear all sides of the situation, impact on all parties, steps towards resolution, etc.

If, within two weeks, the concern is not satisfactorily resolved, the Executive Director is to notify the School Board, at which point, the school board may give the Executive Director more time to resolve the situation OR add the concern to the next board meeting for discussion. 

(2) If the Board is appointed point of contact, the Board will have 2 weeks to address the concern, unless the concern necessitates a shorter timeline. If within two weeks, the concern is not satisfactorily resolved, the School Board may involve a committee of the board and/or add the concern to the board agenda for discussion at the next board meeting. Note, all board meetings are public. However, if the issue involves private data, such as employee performance, then by law, the board is required to close that portion of the meeting - unless the employee involved requests to keep that portion of the meeting open/ public.
